The build fee is separate from hosting, third-party subscriptions, AI usage and support. Compare those costs over the same period before choosing a platform.

What sits inside the build budget?
A CRM quote should describe a working business process. Which records are created? Who can see them? What moves a deal or job forward? Which external information must be available? How will the team know the system is correct? These answers define the work more reliably than counting screens.
The allocation below illustrates how a £50,000 build budget could be distributed. It is a planning example, not a package, a component price list or an estimate for your project. Integration and migration complexity can change the balance significantly.

What changes the price
Complexity lives in relationships and exceptions.
Ten simple fields may be easy to build. One relationship with unusual permissions can be much harder. A team managing contacts and opportunities has a different requirement from a business linking properties, owners, contracts, jobs and invoices, each with its own lifecycle.
Integrations need more than a successful API call. We scope authentication, sync direction, rate limits, duplicate handling, retries, source ownership and what the team sees when something fails. The source system may also require a paid plan or an administrator’s consent.
Migration effort depends on what the source can export and the condition of that data. Duplicate people, inconsistent stages, inaccessible attachments and unlinked history all need decisions. We inspect a representative sample before treating migration as a fixed, uncomplicated line item.

After launch
Separate running costs from new product work.
Ask for an operating-cost schedule alongside the quote. Hosting and database costs depend on usage. Email and other providers have their own subscriptions. AI costs depend on the model, the amount of context and how often the agent runs. Monitoring, backups and support require an owner even if the hosting bill is small.
Support should describe response expectations, included work, exclusions and how changes are commissioned. Fixing a fault against an agreed specification is different from building a new pipeline or integration. We do not use a percentage of the build fee as a substitute for a support scope. The correct arrangement depends on how critical the system is and how much development the company expects after launch. Agree it before cutover.
The business case
Compare three-year costs on equal terms.
For a configured platform, include implementation, user licences, required upgrades, integrations, administration and support. For custom software, include the build, migration, infrastructure, any reusable-core licence, third-party tools, support and planned changes. In both cases, include the internal time required for adoption and ongoing ownership.
There is no universal seat count at which building becomes cheaper. A lightly configured platform for 40 people can be better value than a custom build for ten; a small team with an unusually expensive operational workaround can reach the opposite conclusion. Use your actual workflow and quotes.
Measure the benefit with something observable: time spent re-keying records, deals without a next action, handover errors or duplicate entries. Calculate the current cost and set a target. Revenue improvements should remain assumptions until the business can demonstrate them.

Is £50,000 a fixed price for any custom CRM?
No. It is Wall & Fifth’s starting build investment. We agree the requirements and acceptance criteria before issuing a fixed price for your defined scope. Larger or more complex projects are quoted accordingly.
Are hosting and AI costs included?
They are identified separately in the proposal unless explicitly included. AI usage depends on the provider, model and frequency of calls. The operating-cost schedule should make those assumptions and responsibilities clear.
How much should we budget for maintenance?
Budget against the support requirements: system criticality, monitoring, backups, response times and included engineering work. We scope support separately rather than promising a universal percentage of the build fee.
Can we start with a smaller release?
Yes. Define the complete workflow that delivers the most value first, then defer independent features. A smaller release should still include the permissions, integration reliability and handover needed to use it in production.
